A vendor management template is a spreadsheet for tracking every supplier your business relies on, from owner and contract dates to risk tier and performance score. It shows which vendors need a review, a renewal decision or an exit next.
It is the working record of the suppliers you already use and how each relationship is going. Every vendor gets one row with its owner, spend, contract end date, notice period, risk tier and latest performance score.

Start with six columns: Vendor, Owner, Annual spend, Contract end, Notice date, Risk tier. Add performance scores once you review vendors on a schedule.
Add a vendor here the day its contract is signed, and give it a named owner rather than a department. The notice date column matters most: it is the last day you can cancel or renegotiate without rolling into another term.

Log every review as a new row on the Reviews tab, so you keep the history instead of overwriting it. The tracker then pulls the average score for each vendor. Agree the weights once and keep them stable, or scores stop being comparable.

Scale: 5 exceeds the contract, 4 meets it fully, 3 meets it with minor issues, 2 misses it often, 1 fails it.
Tiering stops you spending the same effort on a stationery supplier as on a payroll provider. Set the tier at onboarding and revisit it whenever the vendor's access or spend changes. See vendor risk management for the assessment itself.

The checklist turns the tracker into a routine. Owners tick the onboarding group before the first purchase order and the renewal group before the notice date. The download adds an owner and a due date column to each check.
