A contract termination letter template is a ready-made formal notice that tells the other party you are ending an agreement. It names the contract, cites the termination clause, states the effective date and sets out what happens next.
It is the written notice that formally ends a business agreement under its own terms. Most contracts say termination only counts if it is in writing, sent to a named address and given a set number of days in advance, so the letter is what makes the termination valid.
Procurement, legal and finance teams send one when a supplier is no longer needed, when a project finishes, when a cheaper option is found, or when the other side has broken the agreement.

The simplest valid version is three sentences: which contract you are ending, under which section, and on what date. Everything else in the template makes the close-out smoother.

Many supplier contracts renew automatically unless notice arrives a set number of days before the renewal date. Missing that window usually means paying for another full term, so the deadline matters more than the wording. Work it out first, then send this notice well before it.

Software and service subscriptions are where cancellation letters are needed most, because the contract often sits in an online order form nobody has opened since signing. Check whether the vendor requires cancellation through a portal or a specific email address, and send the letter there as well as to your account manager.

Most commercial contracts give the party in breach a set number of days to put things right. This notice records the breach in specific, dated terms and starts that clock. Keep it factual, attach evidence and avoid language about losses until counsel has reviewed it.
