Deprecation Update - Usage & App-Based Features


To simplify the platform and align with core procurement workflows, usage-based features and app-centric elements have been deprecated.

What’s changed:

•Offerings now sourced only from:
- Contracts
- Direct Integrations
• Google/Chrome-based data removed

• Apps removed from assessment dropdown
• Only the following options available:

• Existing app-based assessments remain unchanged
• New assessments will reflect the selected vendor name

Vendor Portal, Questionnaires & Assessment Review

We've built a secure, end-to-end collaboration layer between your team and your vendors. This release brings three interconnected capabilities that work together out of the box.

What's included:

  • A dedicated Vendor Portal for secure, structured communication with external vendors
  • Questionnaire Management to standardize and track information collection
  • An Assessment Review workflow that keeps evaluations moving without the back-and-forth

ENHANCEMENTS

Request Value visibility across the platform

A new standardized Request Value field is now visible throughout Spendflo, giving finance and procurement teams a consistent number to reference — whether they're reviewing a request, approving it, or building a workflow.

Visible in: Request Details · Workflow Studio · Approval Notifications

How the value is determined:

  • The last qualifying budget-type question in the form is used as the Request Value
  • If no budget question exists on a renewal, the previous agreement value is pulled in
  • If neither applies, the field shows "–"
  • A budget question response always takes precedence over the prior agreement value

Coupa PR creation — new mandatory fields

Based on a request from Spoton, Coupa PR creation now requires two additional fields at submission. This ensures purchase requisitions carry the context procurement teams need before processing.

New required fields: Commodities · Reason for Purchase

View-only mode for active workflows

You can now inspect task configurations on any active workflow without pulling it into Draft mode first. Review logic, conditions, and settings without interrupting a live workflow — ideal for audits, debugging, and onboarding teammates.

XLS and XLSX file uploads in Comments

Spreadsheet files can now be attached directly in the Comments section. Files render with a "Download to view" prompt, keeping the conversation clean while making it easy to share supporting data in context.

  • .xls and .xlsx files supported
  • Viewer displays a download prompt (no inline preview)
  • Applies to the Comments section only

Workflow Integrations & Coupa Entity Sync

This release improves integration reliability and ensures consistent entity data across systems — reducing manual intervention and failed workflows.

What’s included:
- A retry mechanism for failed workflow integrations to ensure smoother execution
- Automatic import of entity data from Coupa, aligned with existing NetSuite behavior

ENHANCEMENTS

Improved User Invite Error Handling
User invitations are now more intuitive with clearer, context-aware error messages — reducing confusion and accelerating onboarding.

Enhanced scenarios:
- Invalid email format
- Unsupported or invalid domain
- Existing user already in the system

CSAT Dashboard – Customer Satisfaction Survey

A new CSAT module to capture requester feedback after a purchase request is completed.

Triggered when:
• Request Status = Completed
• Workflow Type = Purchase Request
• Request Owner = Spendflo Buyer

How it works:
• Survey shared via Slack or accessible from the Request Details page
• Includes:
– Service Rating
▪ Slack: 1–5 selection
▪ Platform: star rating
– Additional Comments
▪ Long text input on both Slack and platform

SCIM (System for Cross-domain Identity Management)
Automated user provisioning and management via identity providers like Okta and Azure AD.

Capabilities:

Profile Updates
• Username and email changes sync automatically

Role & Group Sync
• Adding a user to a group → assigns group role
• Changing groups → updates role assignments
• Adding roles to a group → all members inherit the role

User Removal
• Removing a user from all groups → automatically removes them from the platform

LinkSquares Integration
Seamless agreement creation and tracking through LinkSquares CLM directly from Spendflo workflows.

What’s included:
• Agreement data and draft files sent from Spendflo to LinkSquares
• Agreements move through stages:
– Internal Review → Fully Signed → Finalized

Task behavior:
• Status = In Progress → when draft is created
• Status = Completed → when selected completion status is reached in LinkSquares
• Agreement Name, URL, and Status are automatically fetched and displayed

NetSuite ERP Import Improvements

Import & Configuration
• Account Type can now be imported via Configure Account Type
• Import process may take up to 24 hours

Auto-imported Data
• Vendors, Subsidiaries, Departments, Classes, etc. are auto-imported
• Default setting: Show to User = ON

Visibility Rules
• When Show to User = OFF, fields are hidden from:
– Request forms
– Agreement forms
– Vendor listing page
– Vendor mapping page
– Transaction page
– Spend page

Manual Sync
• New Sync button added to the Integrations page to refresh NetSuite entries

Renewal Listing Page Update
• Renewal listing now includes Non-SaaS items

MINOR ENHANCEMENTS

Add New Vendor – CTA Logic Update

Behavior updates:
• Button remains enabled when ERP settings are not configured - regardless of integration/workflow toggles
• Button is disabled when ERP settings are configured
