The basics

What is an AI purchase order tracking agent?

It compares each order against its expected dates and quantities, and raises a flag when an order has no acknowledgment, a slipped date, a partial delivery or no activity for too long.

Read the full explanation

It prepares the follow-up note or internal task for the buyer. The buyer chooses whether to chase, amend or wait.

Where it breaks

Why this step is hard by hand

Open orders pile up across buyers, mailboxes and spreadsheets, and the status of any one PO is usually known only by whoever raised it.

Supplier updates arrive by email and portal, so the PO record is often out of date.

An order with no news looks the same as an order on track until someone asks.

One PO can have several shipments, receipts and invoices at different stages.

When a buyer leaves or moves, their open orders lose a follower.

Answering what is outstanding with [vendor] means opening several files.

The path

How the agent does it

  1. 01Collect PO states

Pulls open POs with their lines, promised dates, quantities and owner from the PO records.

  2. 02Add supplier signals

Reads supplier emails and portal messages for acknowledgments, date changes and shipping notices, and ties each to its PO.

  3. 03Add receipt and invoice signals

Checks goods and service receipts and invoices already posted against each PO to see how much has actually been delivered or billed.

  4. 04Set a status and risk reason

Labels each order as on track, awaiting supplier, late, partly delivered or inactive, with the evidence behind the label.

  5. 05Prepare the next action

Drafts a chase note or task for the owner and queues it for review.

Who decides, and what to watch

What stays with people

Buyers decide the actionThe agent reports status and drafts the chase; the buyer decides whether to chase, amend or cancel.

Mistakes to avoid

  • ×
Tracking only by dateAn order can be on time and still short on quantity or billed ahead of delivery.
  • ×
Trusting the PO status fieldSystems often show Open until someone closes it, which says little about reality.

Rollout

Rolling it out

  1. 1Pick one category

Start with a single spend category so buyers can check every label.

  2. 2Compare with buyer view

Run read-only for a few cycles and note where agent status differs from the buyer's own.

  3. 3Turn on chase drafts

Let the agent queue drafts for buyer review; it never sends them.

  4. 4Widen by supplier group

Add categories one at a time and keep the lateness rules visible to every buyer.

Signs you would benefit

Personal order lists existBuyers keep private spreadsheets because the system record is not trusted.
Lateness surfaces from complaintsRequesters tell procurement an order is overdue before procurement knows.
Departures leave orphansOpen orders sit with people who have moved teams.
Status questions interrupt workFinance asks what is still open with [vendor] and the answer takes an afternoon.
The numbers

How to measure it

Set your own baseline first. We do not publish benchmarks without a source you can check.
Metric 1

Open PO aging

Open PO aging (%) =
open POs past their promised datetotal open POs× 100

Read it by supplier and category rather than as one number. A rise in one supplier points to a relationship issue, while a rise everywhere points to a process issue.

  • Split by whether the supplier ever acknowledged the order.
  • Review the oldest orders first, since they are most often forgotten.
Questions

Frequently asked questions

Quick answers to what people ask most about purchase order tracking.

Book a demo
What is purchase order tracking in procurement?

It is following each purchase order after it is issued, so you know whether the supplier has accepted it, when goods or services are due, what has been received and what is still open.

How is tracking different from order confirmation?

Confirmation is a one-time supplier reply about the order. Tracking is the continuing view of the order until it is closed, and it uses confirmation as one input.

Can the agent change or cancel a PO?

No. It can recommend an amendment or cancellation and prepare the request, but a buyer with the right authority makes the change.

Which data does it need to start?

Open PO records with dates, quantities and owners, plus access to the shared mailbox or portal where suppliers reply. Receipts and invoices improve the status it reports.
