The basics

What is an AI invoice validation agent?

It checks the basics, such as required fields, valid dates and arithmetic, then the control checks: duplicates, vendor status, PO and receipt matching and approval limits.

Read the full explanation

It produces a single validation summary per invoice, and sends failed items to the person who owns that type of problem.

Where it breaks

Why this step is hard by hand

Validation rules exist, but they live in procedures and people's habits, so they are applied unevenly and often only after something goes wrong.

Some sit in the ERP, some in a handbook, some in memory.

Time is spent coding invoices that will later fail.

Reviewers cannot tell why an invoice stopped.

Auditors ask how an invoice was checked and the answer is informal.

Policies change and the checks lag behind.

The path

How the agent does it

  1. 01Load the rule set

Reads the validation rules your team has defined, with thresholds and exemptions.

  2. 02Run basic checks

Tests completeness, dates, currency, arithmetic and readable references.

  3. 03Run control checks

Tests duplicates, vendor status, PO and receipt match, tax data and limits.

  4. 04Summarise the result

Lists each rule with pass or fail and the evidence behind it.

  5. 05Route failures

Sends each failed invoice to the owner for that failure type.

People and control

Who decides, and what to watch

What stays with people

  • ✓
Control owners define the rulesThe agent applies them, it does not invent them.
  • ✓
Reviewers resolve failuresA person decides what to do with a failed invoice.
  • ✓
Finance approves rule changesUpdates follow your change process.
  • ✓
Approvers still approveA pass is evidence, not authority.

Mistakes to avoid

  • ×
Validating after codingFailed invoices waste earlier effort.
  • ×
Hard-coding thresholdsLimits differ by entity, category and period.
  • ×
Passing silentlyIf nobody can see which rules ran, trust is low.
  • ×
Never retiring rulesObsolete checks create noise.

Rollout

Rolling it out

  1. 1Document the rules

List what makes an invoice valid in your policy.

  2. 2Run in parallel

Let the agent validate beside the manual process for a period.

  3. 3Switch the order

Send valid invoices on while failures go to specialists.

  4. 4Revisit rules

Add or tighten rules as common failures appear.

The numbers

How to measure it

Set your own baseline first. We do not publish benchmarks without a source you can check.
Metric 1

Validation first-pass rate

First-pass rate (%) =
invoices passing all rules at first checkinvoices validated× 100

A low rate points to upstream issues, such as poor capture or missing POs. Look at which rule fails most.

  • Rank rules by failure count.
  • Track time from failure to resolution.
Questions

Frequently asked questions

Quick answers to what people ask most about invoice validation.

Book a demo
What is invoice validation?

It is checking an invoice against your rules for completeness, accuracy, duplicates, matching and policy before approval, so that problems are caught before money moves.

How does validation differ from matching?

Matching compares an invoice with a PO or receipt. Validation is broader, and matching is one of its checks alongside duplicates, tax, arithmetic and policy.

Can the agent change the rules?

No. Rules are set and changed by your control owners. The agent applies them and reports on the results.

What does a pass mean?

It means every configured check succeeded. Approval and payment still follow your normal authority and workflow.
