The basics

What is an AI supplier reactivation agent?

It compares each part of the old file with current requirements, such as tax form, bank details, insurance, certifications and screening, and marks each as still valid, expired or newly required.

Read the full explanation

It prepares the refresh requests for stale items and a summary for the approver, and keeps the record inactive until a person approves.

Where it breaks

Why this step is hard by hand

Reactivating a supplier by flipping a status is quick, but the checks done years ago may be out of date, and the reason for deactivation may be forgotten.

The supplier was deactivated for a problem that is not visible when it returns.

Screening, certificates and insurance have lapsed or standards have changed.

The supplier may have a new owner, address or bank account since it left.

A single click makes the supplier payable with no review.

Dormant records are targeted for fake invoices and changed bank details.

The path

How the agent does it

  1. 01Read the history

The agent finds the deactivation reason, date and any related incidents or notes.

  2. 02Compare with current rules

Each element of the file is compared with today's requirements and marked valid, expired or new.

  3. 03Check for changes

It looks for changed ownership, names, addresses or bank details since deactivation.

  4. 04Request refreshes

Drafts are prepared for the stale items for a person to send.

  5. 05Present for approval

A summary with the history, findings and open items goes to the approver, and the record stays inactive until approved.

What is supplier reactivation?

It is bringing an inactive supplier back into use once its records and checks are confirmed to be current. An AI agent can compare the old file with today's requirements and flag what is stale for a person to approve.

Why not just switch the status back?

Because checks, documents and bank details may be out of date, and the reason for deactivation may still apply. A status change alone skips all of that.

Does the agent reactivate suppliers?

No. It prepares the review and the refresh requests. A named approver decides, and the record stays inactive until then.

How long can a supplier be dormant before a full re-onboarding?

That is a policy decision. The agent applies the limit your team sets and flags suppliers beyond it.
