A person resolves each mismatch.

Clean lines are marked ready for invoice matching.

The basics

What is an AI receipt matching agent?

It checks quantity, unit and item, and shows the received, ordered and invoiced amounts side by side.

Read the full explanation

It marks each line as matched, short, over or unreceived, and sends the exceptions to the right person with the reason.

Where it breaks

Why this step is hard by hand

Receipts, POs and invoices come from different people at different times, so matching often stalls on one missing or mismatched record.

The invoice may precede the receipt.

Receipt lines rarely mirror PO or invoice wording.

Matching has to track running totals.

Adjustments are recorded in free text.

AP waits on receiving, and receiving waits on a prompt.

The path

How the agent does it

  1. 01Gather the three records

Pulls the PO lines, receipts to date and the invoice lines for the same order.

  2. 02Align line by line

Pairs lines using item references, descriptions and quantities, and notes uncertain pairings.

  3. 03Compare quantities

Computes ordered, received and invoiced totals per line and identifies differences.

  4. 04Label each line

Marks lines as matched, partly received, over received, invoiced before receipt or unreceived.

  5. 05Route the exceptions

Sends each exception to the person who can fix it, with the numbers and the likely reason.

Rollout

Rolling it out

  1. 1Match one document set

Compare PO and receipts for a single category and review each result.

  2. 2Add description linking

Allow suggested matches on wording once part numbers are reliable.

  3. 3Publish status to AP

Share line status so invoice work starts clean.

  4. 4Track mismatch causes

Group causes and fix the common ones at source.

Signs you would benefit

Mismatches appear lateThey show at invoice time, not receipt time.
Descriptions never agreeStaff match by judgement every time.
Partial deliveries confuse totalsRunning counts live in notes.
AP rework is commonInvoices bounce back for receipt fixes.
The numbers

How to measure it

Set your own baseline first. We do not publish benchmarks without a source you can check.
Metric 1

Receipt match rate

Receipt match rate (%) =
invoice lines matching receipt and PO without exceptioninvoice lines processed× 100

A low rate shows where records disagree. Break it down by supplier, receiving site and cause.

  • Separate missing receipts from quantity differences.
  • Track the age of unresolved exceptions.

Frequently asked questions

Quick answers to what people ask most about receipt matching.

Book a demo
What is receipt matching?

It is comparing what was received with what was ordered and what was billed, so you can confirm that an invoice reflects real delivery before it is approved for payment.

How does receipt matching relate to three-way matching?

It is one side of it. Three-way matching compares PO, receipt and invoice, and receipt matching covers the check between received quantities and the other two.

What if there is no receipt yet?

The agent labels the line as unreceived and asks the receiving contact to check. AP can then hold the invoice according to your process.

Can the agent approve an invoice that matches?

It reports that lines match. Approval and payment stay with the people and workflows your policy names.
