Approved invoices are gathered for payment.

The agent compares each item with past payments.

It looks at card, bank and manual payments.

A treasury analyst clears or removes flagged items.

Cleared items proceed to the payment run.

Overpayments are tracked to credit or refund.

The basics

What is an AI duplicate payment prevention agent?

It looks beyond invoices to find the same obligation paid by different routes, such as a card payment and a bank transfer, or a payment to a supplier's old and new account.

Read the full explanation

It adds a clear flag to risky items in the run, with the earlier payment shown, and leaves the choice to remove or release to a person.

Where it breaks

Why this step is hard by hand

Once money has left, recovering it depends on the supplier's goodwill, so the control has to work before release, not after.

One bill paid by card and by transfer looks like two things.

The same invoice can sit in two runs prepared by different people.

A replacement invoice number hides the original.

Net balances conceal a payment made twice.

Chasing refunds takes time and may not succeed.

The path

How the agent does it

  1. 01Take the proposed run

The agent reads every item in a payment proposal with its supplier, amount, invoice link and bank details.

  2. 02Search payments

It compares each item with paid items, other pending batches and open credits.

  3. 03Test the obligation

It checks whether the same invoice, PO or recurring charge is already settled by any route.

  4. 04Flag the risks

It marks suspect items with the matching earlier payment and a reason.

  5. 05Wait for review

The run is not released until a person has cleared or removed each flagged item.

TimingDuplicates are caught after money leaves.Checks run immediately before the payment run is released.
ChannelsCard and bank payments are checked separately.Payments are compared across channels.
ScopeChecks rely on invoice number only.Checks use payee, amount, reference and invoice links.
RecoveryRecovery starts months later.Overpayments are tracked from detection.
Control evidenceProof of checking is thin.A record shows each check and decision.
People and control

Who decides, and what to watch

What stays with people

  • ✓
Clear or remove itemsA finance reviewer decides for each flag.
  • ✓
Release the runAuthorised staff release payment, never the agent.
  • ✓
Recover moneyPeople approach the supplier or bank where a duplicate was paid.
  • ✓
Set the controlsFinance decides which checks must be cleared before release.

Mistakes to avoid

  • ×
Checking only the current batchPrior and parallel batches are where repeats live.
  • ×
Ignoring other payment methodsCards and manual transfers need to be in scope.
  • ×
Treating a flag as proofSome similar payments are legitimate and need review.
  • ×
Reviewing after releaseA control that runs afterwards is detection, not prevention.

The numbers

How to measure it

Set your own baseline first. We do not publish benchmarks without a source you can check.
Metric 1

Duplicate payments stopped before release

Stopped before release = number of flagged items removed from runs in the period

This shows how many duplicate payments were prevented rather than recovered. Compare it with duplicates found after payment to judge coverage.

  • Record the cause for each item that was removed.
  • Track duplicates discovered after release and trace the gap.
Questions

Frequently asked questions

Quick answers to what people ask most about duplicate payment prevention.

Book a demo
What is duplicate payment prevention?

It is the control that checks proposed payments against previous and pending ones, to stop the same amount being paid twice for the same obligation.

How is it different from duplicate invoice detection?

Invoice detection happens earlier and looks at documents. Payment prevention looks at the payment run, and catches repeats that came through different invoices or methods.

Can the agent block a payment?

It flags items and recommends removal. A finance reviewer removes them or releases the run. The agent does not release or cancel payments.

What if a duplicate was already paid?

The agent can assemble the evidence, and a person contacts the supplier or bank to recover the funds.
