An approver is on leave or unavailable.

The agent checks who may stand in.

It selects an eligible delegate for the dates.

Delegate authority is compared with request value.

The approver or their lead agrees the delegation.

Dates, scope and delegate are recorded.

The basics

What is an AI approval delegation agent?

When a request would go to an absent approver, it sends it to the valid delegate and notes the substitution on the record and to the original approver.

Read the full explanation

It reminds approvers to set delegation before planned absences, and flags requests held by someone with no delegation in place.

Where it breaks

Why this step is hard by hand

Approvers are away more often than workflows assume, and each unplanned absence can hold up several requests at once.

Approvers go on leave without naming a delegate, and requests queue behind them.

A verbal 'cover for me' leaves no record of who actually had authority.

A delegate ends up approving above the amount they were meant to handle.

An old arrangement stays active after the approver returns.

Nobody can show who approved on whose behalf and under what authority.

The path

How the agent does it

  1. 01Read the delegation records

The agent holds each active delegation with its dates, delegate and limits.

  2. 02Check at routing time

When an approval is routed, it checks whether the approver is covered by a delegation.

  3. 03Apply limits

It redirects only requests within the delegation's limits and flags those above them.

  4. 04Notify and record

The delegate and the original approver are told, and the substitution is logged.

  5. 05Prompt and expire

It prompts for delegation before known absences and ends delegations on their stated date.

People and control

Who decides, and what to watch

What stays with people

  • ✓
Granting the delegationOnly the approver, or their manager, can pass authority to another person.
  • ✓
Setting limitsPeople decide what a delegate may and may not approve.
  • ✓
Ending delegationsApprovers or administrators close arrangements that are no longer needed.
  • ✓
Handling over-limit casesA manager decides who acts when no valid delegate exists.

Mistakes to avoid

  • ×
Open-ended delegationsWithout an end date, authority stays with someone indefinitely.
  • ×
No amount limitsA delegate can then approve far above their normal authority.
  • ×
Delegating to a subordinateHaving someone approve spend for their own manager creates a control problem.
  • ×
Not telling the approverThey should see what was approved in their name.

Rollout

Rolling it out

  1. 1Start with leave

Handle planned leave only, with a named delegate per approver.

  2. 2Add limit checks

Compare delegate authority with each request value.

  3. 3Handle surprises

Add absent-without-notice cases with a lead confirming.

  4. 4Review delegations

Check closed delegations for late decisions or overreach.

Signs you would benefit

Approvals stall during holidaysNobody knows who may stand in.
Delegates approve beyond their authorityIt is found in audit.
Delegations never endOld stand-ins keep approving.
Delegation is arranged ad hoc by emailThere is no record of the grant.
The numbers

How to measure it

Set your own baseline first. We do not publish benchmarks without a source you can check.
Metric 1

Approvals held by absent approvers

Held approvals = number of approval requests waiting on an approver who is absent with no active delegation, at a point in time

It shows how often absence blocks requests. A persistent count suggests approvers are not setting delegations before they leave.

  • Count it weekly and compare with the calendar of planned leave.
  • Share the list with managers so cover is arranged early.

Frequently asked questions

Quick answers to what people ask most about approval delegation.

Book a demo
What is approval delegation?

It is the temporary passing of an approver's authority to someone else, for example during leave. An AI agent applies the delegations people have set and keeps a record of each one.

Can the agent create a delegation?

No. It applies delegations that approvers or administrators have set and prompts for new ones. It does not grant authority itself.

What if the delegate's limit is lower than the request?

The agent holds the request and asks the approver's manager or another authorised person to decide, rather than sending it to someone without authority.

How are delegations audited?

Each substitution is logged with the original approver, the delegate, the dates and the limits, so you can show under whose authority a decision was made.
