A leaver or retired tool is flagged from the HR or IT record.

Finds every application tied to the person or team.

Notes which seats, data and admin rights need a new owner.

Prepares removal, transfer and cancellation steps in order.

The app owner approves each removal or transfer.

Tracks that seats are freed and records any remaining cost.

The basics

What is an AI SaaS offboarding agent?

For a leaver, the agent builds a list of the applications that person holds a seat in, using the seat rosters and identity records available. It adds the owner of each tool so tasks go to the right place.

Read the full explanation

For a retired application, it lists the contract end date, the notice requirement, the data to export, the users to move and the billing to stop.

In both cases it tracks the tasks to completion and records what was closed, so seats return to the pool and nothing keeps billing quietly.

Where it breaks

Why this step is hard by hand

Access and billing outlive the people and projects they were created for, and no single system lists everything.

A leaver may hold seats in tools that IT never provisioned, so a standard list of apps misses some.

A retired tool keeps charging unless someone cancels within the notice window.

Files, workflows and shared content tied to a departed user can be lost or orphaned.

Each application has a different admin, so the tasks scatter and follow-up is easy to forget.

The path

How the agent does it

  1. 01Identify the scope

Take the leaver or the application to be retired and list every seat, subscription and integration linked to it.

  2. 02Assign tasks

Route each removal, transfer or export to the application's owner or admin.

  3. 03Check contract exits

Read the notice period and renewal date so cancellation is raised in time.

  4. 04Track completion

Follow each task until the owner confirms it, and nudge the ones that stall.

  5. 05Close the record

Log the seats released, the subscriptions ended and any data exports, then update the roster.

Who decides, and what to watch

What stays with people

  • ✓
Admins remove accessThe agent prepares tasks, but a person with the right permissions makes the change.
  • ✓
Managers decide data handoverPeople choose who takes over files, workflows and customer-facing assets.
  • ✓
Owners cancel contractsEnding a subscription is a decision and an action taken by the named owner.

Mistakes to avoid

  • ×
Removing the login but not the seatAccess may be blocked while the paid seat stays assigned and billed.
  • ×
Forgetting integrationsConnected apps and tokens created by the leaver can keep running after they go.
  • ×
Missing the notice windowRetiring a tool late means another year of charges for an application nobody uses.

Rollout

Rolling it out

  1. 1Leavers first

Start with leaver lists for a few common tools, producing lists only.

  2. 2Compare with practice

Check the list against what IT normally removes and note gaps.

  3. 3Add retirement

Extend to whole-app retirement with notice and export checks.

  4. 4Link to billing

Track freed seats to reclaim, with people approving each removal.

Metric 1

Offboarding tasks closed on time

On-time closure (%) =
offboarding tasks closed by their due datetotal offboarding tasks× 100

It shows whether leavers and retired tools are fully closed out by the date planned. Low figures usually point to specific owners or tools that need attention.

  • Break it down by application owner.
  • Count seats returned to the pool next to it.
Questions

Frequently asked questions

Quick answers to what people ask most about saaS offboarding.

Book a demo
What is SaaS offboarding?

It is the process of removing a leaver's access, or shutting down an application, across every software tool involved. It covers seats, data, integrations and billing, not just a single login.

Is this the same as identity deprovisioning?

They overlap but differ. Deprovisioning removes access in the identity system. Offboarding also deals with paid seats, contract notices, data transfer and tools that sit outside identity control.

Can the agent cancel a subscription?

No. It identifies the subscription, the notice date and the owner, and prepares the cancellation request. A person decides and submits it.

What if the leaver used tools IT did not know about?

The agent can draw on available spend and seat records to find them, though coverage depends on the data supplied. Anything it cannot confirm is listed for a person to check.
